Situation
The college did not have proper lead conversion visibility.
The client's challenge
The admission team manually collected the details of students who came in to enquire about admission and uploaded the details of students who were actually interested into Excel sheets.
Manual uploads had a lot of flaws — difficulty in tracking, delays in providing the fastest replies, and inaccuracies in the details. When bulk admission enquiries came in, the entire flow would get messed up.
There was no proper system to track where each lead was, who was responsible for it, and what action needed to be taken next.
What we understood
When we found this issue in the admission process, what we understood was that there was a lack of a proper system.
The problem was not just about collecting student details. The entire process of capturing, tracking, assigning responsibility, and converting leads needed to be structured.
The fix was not a better spreadsheet. It was a proper system.
Solution
Capture on WhatsApp. Own on a board. Escalate when nobody moves.

We made a system where students click on Enquire Now, which directs them to a WhatsApp chatbot. When the chat arrives, the system collects the admission details and understands & filters the department.
Ownership
The WhatsApp bot can act like a receptionist, but converting the leads into sales is the human's part.
So admission team members can filter the departments, see the pipeline, and take the required actions. They can also do their own assignments — and from there itself, they can connect to the chat.
Visibility and escalation
The chat is connected and visualised like a Kanban board, so every department can filter it and see the leads.
If nobody assigns or takes responsibility for a lead, the admin can manually assign it to a specific admission team member.
- Assign by course, campus, workload, and availability.
- No-action rule — if no response in time, escalate automatically.
- Notify via WhatsApp, dashboard, or email.

What changed
Every enquiry lands in the same place. Departments filter their own view. Ownership is visible. Silence escalates instead of disappearing.
Results
They didn't have lead conversion visibility because the system wasn't there. Now, everything is visible.

They can now actually know how many total admissions came in during a particular time and track the entire lead flow through the system.
